Family Onboarding: Inviting Parents & Statutory Data Collection

Effective onboarding is critical for both operational efficiency and regulatory compliance. The Family Onboarding Link allows you to securely invite parents to provide essential information about their child directly into KinderStart, ensuring all required details are captured before care begins.

ONBOARDING: Inviting a parent to the child's profile

Invite parents by email to securely complete their child's profile and statutory details.

Step 1: Send the Invitation

To initiate the process, navigate to the child's record and select "Invite Parent".

This sends a secure, unique invitation link to the parent's email address.

The parent is guided through a mobile-optimized interface to provide their contact information, emergency contacts, and the child's medical history.

All data entered is encrypted and mapped directly to the child's profile in your account.

💡Assisted Onboarding

Collaborative Entry. If a parent requires assistance with the digital form, you can complete the details together during a settling-in session. Simply open the child's profile on your device and update the fields as you discuss them.

Step 2: Reviewing Submitted Information

You can monitor the information provided by the parent in real-time. Navigate to Children > [Child Name] to view the current status of their records, including:

Child Profile: Core details such as Name, DOB, and Home Address.
Medical & Dietary: Essential information regarding allergies, dietary requirements, and health conditions.
Emergency Contacts: Primary and secondary contact details for emergency situations.
Consents: Statutory and optional permissions for outings, photography, and emergency treatment.

Step 3: Transitioning to Contract Generation

Once the child's profile is complete and you have verified the statutory information, you can proceed to formalize the care arrangement by generating a contract.

Navigate to the child's profile and select the Contracts tab.

⚠️Compliance Check

Statutory Requirements. Ensure that the "Emergency Contact" and "Medical" sections are fully populated before finalizing the profile. This information is required by EYFS/Ofsted standards to be accessible at all times while the child is in your care.

Step 4: Digital Health Declaration & Signatures

KinderStart includes a built-in Health Declaration that parents sign during the onboarding process. All digital signatures are timestamped and stored securely in your account, providing a clear audit trail for inspections.

Automated Updates. Information provided during onboarding automatically synchronizes with the Child's Profile, Medication Logs, and Daily Register. This eliminates redundant data entry and ensures consistency across all records.
