Why Use Templates?

  • Consistency: Ensure every parent receives the same professional terms and conditions.
  • Flexibility: Create different templates for Full-Year, Term-Time Only, or Ad-Hoc care.
  • Compliance: Keep your legal wording up to date with the latest privacy and safeguarding laws.

How to Build a Template

  1. Navigate to Tools > Business Settings > Contract Templates.
  2. Tap "New Template".
  3. Template Name: Give it a clear name (e.g. Standard 2026 Terms).
  4. Load KinderStart Defaults: If you're new, use this button to instantly pull in industry-standard clauses for Notice Periods, Late Fees, and Sick Child Policies.

Understanding Clause Categories

KinderStart organises your contract into logical sections to make it readable for parents:

  • Deposit: Explain how the deposit is held and when it is refunded.
  • Notice Period: Set your requirements for terminating the agreement (e.g. 4 weeks).
  • Late Charges: Clearly define the pence-per-minute cost of late pick-ups.
  • Closures & Holidays: State your policy for bank holidays and your own annual leave.

💡The 'Optional' Toggle

Tailor the Experience. Mark specific clauses as "Optional". When you generate a final contract for a child, toggle these clauses ON or OFF depending on that specific family's needs (e.g. Special Dietary Support).

Digital Signature & Storage

Once your template is finalized:

  1. Generate a contract for a specific child using the template.
  2. KinderStart sends the contract to the Parent Portal.
  3. The parent reviews and provides a secure Digital Signature.
  4. KinderStart timestamps and archives the signed PDF in your Evidence Vault automatically.

Audit Tip: Review Annually

Review Your Terms. Local Authority funding rules can change. Use the Template Editor to review your "Fees & Rates" section annually to ensure your business remains profitable and compliant.

How to Set a Default Template

If you have one Main contract you use for 90% of your families:

  1. Open the template in the Editor.
  2. Toggle Set as Default.
  3. Now, every time you go to Generate Contract for a child, KinderStart pre-selects this template automatically.

Using Templates to Generate Contracts

Include these terms in every template: notice period, late fees, sick child policy, and deposit conditions. When you're ready to create a formal agreement for a parent:

  1. Go to the child's Contracts tab.
  2. Tap Generate Contract (+ button).
  3. Select your desired Template (Standard, Term-Time, etc.).
  4. Confirm Clauses: Review and toggle any optional clauses for this specific parent.
  5. Set Rates & Schedule: Complete the financial and attendance details.

Best Practice

⚠️Legal Compliance

While KinderStart provides templates, you are responsible for ensuring your contracts are balanced. Avoid unfair terms, such as unreasonable notice periods or excessive late-fee penalties.

💡Snapshotting

When you generate a contract, KinderStart snapshots the current version of the template. This means that if you update the template later, it won't change your existing, signed contracts. Your history remains secure.
