Mastering the Daily Diary & 60-Second Checks

Every diary entry feeds your invoice. One session logged in the diary equals one correct invoice line item. Missed entries mean underbilling or disputes. Keep your diary complete and your invoices take care of themselves.

Daily Safety Checks

Every morning brings a long list of tasks. Your mandatory safety requirements are built into two key rituals: the Morning Safety Check and the Closing Check.

Work through a checklist of your registered safety areas. Review each area and either complete the check or tap Report an Issue immediately if something needs attention.

  1. Select the Session: Choose Morning (to prepare for arrivals) or Closing (to secure the setting for the next day).
  2. Review Items: Tap through your custom list of safety items (e.g., Sockets, Garden, Hygiene).
  3. Log Issue: Report a problem and KinderStart guides you to create a Risk Assessment with the safety check linked as evidence.

Closing Checks are typically performed after 4:00 PM. They ensure your setting is safe and ready for the next morning.

Verify diary entries before generating invoices

Before generating any invoice, verify that week's diary entries are complete. Missing arrival or departure times produce zero-hour line items.

Open the diary for the relevant week and confirm every session has a recorded arrival time and departure time. Flag any gap before you generate the invoice — correcting it afterwards requires a credit note.

Incomplete sessions block accurate billing A session with no departure time calculates as zero hours. KinderStart cannot infer end times — enter them before closing the week.

How diary sessions become invoice lines

KinderStart feeds every logged session directly into your invoice calculation. No double-entry, no manual transfer.

Each session contributes its duration and rate to the relevant invoice period. Funded hours appear as £0.00 lines before the parent charge — so parents see the full picture and you have a clear audit trail.

Dashboard Quick-Log: The + Menu

Tap the Floating Action Button (FAB) at the bottom right of the Dashboard to log a meal, nap, or nappy change in seconds.

  1. Tap the + button at the bottom right of the Dashboard.
  2. Select the event type (e.g. Log Meal, Naps, Attendance).
  3. Select the children involved. Select one child or use Group Logging to select multiple children at once.
  4. Confirm the details and save.

Group Logging saves significant time. Serving the same lunch to four children? Select them all — KinderStart updates four individual diaries with a single entry.

Child Avatars: Quick View & Emergency

The child avatars at the top of your Dashboard aren't for logging — they're for active monitoring.

  • Status Icons: See at a glance who is sleeping (💤), who is absent (-), and who has arrived.
  • Quick Access: Tap an avatar to view a child's Emergency Card or jump straight to their full Daily Diary for a detailed review of their day.

Snapshots: Photos Without the Paperwork

Not every photo needs to link to an EYFS milestone. Parents love a quick smile. Use the Snapshot feature in the + menu to send a photo directly to parents.

Photos are Ofsted gold. Even an informal photo proves a stimulating environment. Log at least one snapshot per child per day to keep parents engaged and your evidence trail strong.
